The Project

 
Cad Facilities were looking to reduce the amount of time it took from completing an on-site job to issuing their client with completion certificates and invoices. The client was also seeking to reduce administrative tasks which were taking up a lot of their own time.

Field staff were required to submit spreadsheets containing test data. These were emailed to the head office. Then staff would count the number of items tested and note the difference between the number of items passed or failed. They would then manually create a certificate with results of the test. The total number of items listed in the spreadsheet would then be used to manually create an invoice, then all documents were emailed to the client.

When considering hiring for an administrative role, they found the tasks did not require a full time role, and that hiring a part-time role would add additional administrative tasks and costs.

What We Did

We conducted an audit on the clients business process and found many opportunities to speed up and automate their workflows.

No components of their workflow required conversational interactions or complicated tasks, hence AI was not required. Tasks could easily be automated with simple logic, this meant ongoing costs would be negligible.

We automated business processes by creating a custom application that centralised and secured client data, then automated administrative tasks to complete the job. This was all managed with a bespoke CRM system.

In total we removed over 8 manual steps, completely automating the work process from end to end.
